1. About the service

Reflectiv Collectiv is a self-directed wellness reflection tool operated by Reflectiv Collectiv, Bath Hill Court, Bournemouth, Dorset, UK. By using the service you agree to these terms.

2. Not medical or mental health care

The service is not therapy, counselling, diagnosis or treatment. AI responses are not professional advice and should not replace support from a qualified professional.

If you are in crisis, contact your local emergency services. In the UK call 999 or Samaritans on 116 123. In the US call or text 988.

3. Eligibility

You must be 18 or over to use the service.

4. Your account

Please give accurate information and keep your sign-in secure. You are responsible for activity on your account.

5. Your content

You own your reflections. You grant us a licence to store and process them only as needed to run the service. Content you choose to share with Mirror Mentors is visible to those connections.

6. Community conduct

Do not post harassment, hate, unlawful or harmful content. Shared content is moderated, including by automated AI moderation, and may be removed. Our administrators can moderate and delete content you share publicly, including public wellness-area reflections, but cannot see your private reflections, goals or explorations. Your wellness areas, keywords and discovery signals are visible only to you and are used only to suggest mentors.

7. AI features

Some responses are generated by AI and may be inaccurate. To produce responses, your reflection text is sent to our AI provider.

8. Coaches directory and coaching relationships

Reflectiv Collectiv provides a directory and an introduction service only. We do not provide coaching, advice, therapy, counselling, or any health or professional services. Coaches are independent businesses or individuals, not our employees, agents, partners or representatives. Nothing in these terms creates an employment, agency, partnership or joint venture relationship with a coach.

We are not a party to any contract or arrangement between you and a coach, including sessions, programmes, fees, refunds or cancellations. You agree these directly with the coach. Any payment you make to a coach is outside this service.

Listings are provided by coaches themselves. We do not verify, endorse, recommend or guarantee any coach, their qualifications, credentials, experience, insurance, background or suitability. A listing, a “Coach” badge shown next to a person with a live listing, or any selected or featured display, is not an endorsement and does not mean we have verified credentials. You are responsible for choosing a coach and making your own checks. We suggest asking about qualifications, insurance, experience and confidentiality, and checking any professional body membership they claim.

Coaching is not a substitute for medical, psychological or psychiatric care. Seek qualified professional help for health concerns. In an emergency, call 999 in the UK or your local emergency number. You can also call Samaritans on 116 123 in the UK, or call or text 988 in the US.

To the fullest extent permitted by law, we are not responsible or liable for a coach's advice, services, conduct, communications, acts or omissions, the outcome of any coaching, or loss arising from a relationship with a coach, whether it starts through this service or continues outside it. If you take a relationship off the platform, you do so at your own risk. These terms do not affect any rights you have directly against a coach or your statutory rights.

To raise a concern, use the “Report this listing” link on the coach's page or email hello@reflectivcollectiv.com. We may remove listings, but we are not obliged to investigate or resolve disputes between users and coaches. Whether consumer protection law applies to your arrangement with a coach depends on whether that coach is acting in the course of their business; we expect all coaches to act for business purposes.

9. Terms for coaches

If you create a listing, you confirm you are over 18, your listing is accurate and not misleading, and any credentials or memberships you claim are genuine and current. You confirm you hold the qualifications, insurance and legal permissions needed to offer your services. You must not claim to diagnose or treat medical or mental health conditions unless properly qualified and regulated to do so.

You act as an independent business and are solely responsible for your services, advice, fees, contracts, tax and compliance with the law, including consumer, data protection and advertising rules. You are responsible for safeguarding and for reporting concerns to the proper authorities where required.

When you unlock an enquiry, use the enquirer's details only to respond to that enquiry. Do not add enquirers to marketing lists without their consent, misuse or share their details, and respect any request to stop contact. You are an independent controller of the personal data you receive from an unlocked enquiry.

To the fullest extent permitted by law, you agree to indemnify Reflectiv Collectiv against claims and losses arising from your breach of these terms or your services. We may refuse, suspend or remove listings at our discretion. Listing and enquiry access are currently free; we may introduce charges in future. We do not guarantee enquiries or bookings.

10. Coach pricing and enquiries

Free while our community grows. For now, coaches can list and unlock enquiries at no charge. We may introduce charges in future, such as a subscription. If we do, we will tell coaches before any charges apply and will show the price and billing terms before any purchase. Nothing in these terms obliges you to pay anything today.

When you send an enquiry, your name, email address and message (and, if you choose, a snapshot of your wellness wheel scores) are shared with a coach only if that coach unlocks your enquiry. Before that, the coach sees only the areas, type of help, session format and general location you selected.

Avoid including highly sensitive details, such as health information, other people's details, or financial or identification numbers, in your message unless you are comfortable sharing them with a coach who unlocks it.

You can send one enquiry to up to 3 coaches at a time. Each coach receives a separate enquiry, decides independently whether to unlock it, and does not see which other coaches you contacted. You cannot enquire with the same coach more than once in 7 days.

A coach has 14 days to unlock an enquiry, after which it expires and can no longer be unlocked. You can withdraw an enquiry at any time before it is unlocked; once unlocked it cannot be withdrawn, but you can still delete your account. We email you once if a coach opens your enquiry, or if it expires without being opened.

If an enquiry is spam, not genuine, abusive or otherwise invalid, a coach can contact our team. We may review the enquiry's details and take appropriate action. We do not guarantee enquiries or bookings.

If charging begins, we expect payments to be processed by Stripe; we will not see or store card details. We will explain any subscription terms and cancellation rights before a coach chooses to pay. Nothing in these terms affects your statutory rights as a consumer or business customer, as applicable.

11. Termination

You can delete your account at any time from your profile page. We may suspend or delete accounts that breach these terms, or delete an account at your request.

Our administrators can see account details (name, email, sign-up and sign-in dates and role) and content you share with others. They can edit or remove shared content and suspend or delete accounts, and we keep a record of every administrator action. Administrators cannot view your private reflections, goals or explorations.

12. Disclaimers and limitation of liability

To the fullest extent permitted by law, the service is provided "as is" and our total liability to you is limited as far as the law allows. We are not liable for indirect or consequential loss, loss of profit or opportunity, losses arising from third parties including coaches and other users, or service interruptions.

Nothing in these terms excludes or limits liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited. Nothing affects consumers' statutory rights.

13. Changes to the terms

We may update these terms from time to time. We will update the date above and, where changes are significant, let you know.

14. Governing law

These terms are governed by the laws of England and Wales.
